Refund Policy

At Voyanexa Travel, we are committed to delivering high-quality advisory travel planning services. We understand that circumstances change, plans evolve, and flexibility matters. This Refund Policy outlines the conditions under which refunds, credits, and adjustments may be issued for our planning services.

Please read this policy carefully before engaging our services. By confirming an engagement and submitting payment, you acknowledge that you have read, understood, and agree to the terms of this Refund Policy.

1. Nature of Our Services

Voyanexa Travel provides advisory and consultative travel planning services. Our deliverables consist of intellectual work product — including itinerary documents, route designs, strategic frameworks, checklists, city briefs, and planning consultations. Because our services involve significant professional time, research, and intellectual effort that begins immediately upon engagement confirmation, our refund terms differ from those applicable to physical goods or standardized digital products.

Important: We do not sell travel products, book flights, reserve hotels, or process third-party payments. Refunds for any travel bookings you make based on our recommendations must be sought directly from the respective travel providers. We are not responsible for third-party refund policies or cancellation fees.

2. Deposit and Payment Structure

Our standard engagement structure includes:

  • Initial Deposit: A non-refundable deposit of 30% of the total engagement fee is required to initiate planning work. This deposit covers the intake consultation, initial research, route feasibility assessment, and project setup.
  • Progress Payment: For multi-phase engagements, a progress payment of 40% is due upon delivery of the draft itinerary or route design for your review.
  • Final Payment: The remaining balance is due upon delivery of the completed planning documents and final deliverables.

Custom payment arrangements may be agreed upon in writing for large-scale projects, team engagements, or ongoing advisory retainers. The specific payment terms applicable to your engagement are outlined in your engagement confirmation document.

3. Refund Schedule

Our refund eligibility depends on the stage of work at the time of your cancellation request:

4. Cancellation by the Client

If you wish to cancel an engagement, you must notify us in writing (email is acceptable) at help@voyanexatravel.com. The cancellation date is the date we receive your written notification, not the date you decide to cancel. We will acknowledge your cancellation request within one (1) business day and provide a detailed breakdown of any applicable refund or outstanding balance.

If work has already been performed at the time of cancellation, you will be charged for all work completed at our standard hourly rate or the proportional project fee, whichever is lower. Any deliverables completed up to the point of cancellation will be provided to you.

5. Cancellation by Voyanexa Travel

In rare circumstances, we may need to cancel an engagement. This may occur due to unforeseen resource constraints, conflicts of interest, inability to deliver the scope as agreed, or if we determine that continued service would not meet our quality standards. If we initiate the cancellation:

  • You will receive a full refund of all fees paid for work not yet delivered
  • Any completed deliverables will be provided to you at no charge
  • We will provide at least five (5) business days' written notice before terminating an active engagement, except in cases of emergency or force majeure

6. Revision and Satisfaction Guarantee

We stand behind the quality of our planning work. Every engagement includes a revision phase during which you may request reasonable adjustments to your itinerary, route design, or other deliverables. Our standard engagement includes up to two (2) rounds of revisions at no additional cost.

If, after the revision process, you believe the deliverables do not materially match the scope outlined in your engagement confirmation, you may submit a formal dissatisfaction notice within seven (7) calendar days of final delivery. We will review your concerns in good faith and, at our sole discretion, may offer one of the following resolutions:

  • Additional revisions at no extra cost to address specific shortcomings
  • A partial credit toward a future engagement
  • A partial refund proportional to the undelivered or materially deficient portion of the scope

Please note that dissatisfaction based on subjective preferences (e.g., "I changed my mind about the destination"), changes in your travel plans after delivery, or circumstances outside our control (e.g., a destination becomes unavailable due to political events) does not constitute grounds for a refund.

7. Team and Business Engagements

For team offsite planning, business travel strategy, and multi-person engagements, cancellation and refund terms may be customized in the engagement agreement. Group engagements typically involve greater upfront research, coordination, and planning effort, which is reflected in the refund schedule. The specific terms applicable to your group engagement supersede the general terms outlined above.

8. Refund Processing

Approved refunds will be processed within ten (10) business days of approval. Refunds are issued using the original payment method unless otherwise agreed in writing. We are not responsible for any delays caused by your financial institution's processing times, which may add an additional 5–10 business days before the refund appears in your account.

All refund amounts are calculated in United States Dollars (USD). If your original payment was made in a different currency, the refund amount may differ from the amount originally charged due to exchange rate fluctuations. Voyanexa Travel is not responsible for any exchange rate differences.

9. Force Majeure

Neither party shall be liable for delays or cancellations resulting from events beyond reasonable control, including but not limited to: natural disasters, pandemics, epidemics, government-imposed travel restrictions, war, terrorism, civil unrest, severe weather, transportation strikes, utility failures, or other force majeure events. In such cases, we will work with you in good faith to reschedule, repurpose, or adjust your engagement.

10. Disputes

If you believe a refund has been incorrectly denied or calculated, please contact us to discuss. We encourage open communication and will make reasonable efforts to resolve any billing disputes promptly and fairly. If a resolution cannot be reached through direct communication, the dispute resolution provisions outlined in our Terms of Service shall apply.

11. Modifications to This Policy

We reserve the right to update this Refund Policy at any time. Changes will be posted on our website with an updated "Last updated" date. The policy in effect at the time of your engagement confirmation will govern that particular engagement. We encourage you to review this policy periodically.
